2. Scope

This Privacy Policy applies to personal information we collect through our website, online booking, contact and newsletter forms, class enrolment, shop checkout, email and phone communications, and in-studio interactions connected to our services.

By using our website or providing information to us, you acknowledge that you have read this policy. Where you provide information about a child, you confirm that you are the parent or legal guardian or otherwise authorised to do so.

3. Information we collect

The information we collect depends on how you interact with us. We may collect the following categories:

  • Identity and contact details: name, email, phone number, postal address, and preferred language.
  • Student and enrolment details: age or age group, course interests, campus preference, attendance, learning notes, and communication history with parents or guardians.
  • Booking and payment information: class selections, schedules, invoices, and payment status. Card payments for course bookings are processed by Stripe; we do not store full card numbers on our servers.
  • Shop orders: items purchased, delivery or pickup details, and order history when you use our online shop (checkout is handled by Shopify).
  • Website and technical data: IP address, browser type, device information, pages visited, referral source, and similar usage data collected through cookies or analytics tools.
  • Communications: messages you send via contact forms, email, social channels, or newsletter subscription requests.
  • Security data: signals related to fraud prevention, including information processed when Google reCAPTCHA is used on forms or checkout requests.
  • Media with consent: photographs, video, or images of student artwork where you or a guardian have agreed to capture or display.

4. How we collect information

  • Directly from you when you complete forms, book a class, enrol, subscribe to updates, place a shop order, or contact us.
  • From parents or guardians when enrolling or managing a minor student's classes.
  • Automatically when you browse our website (for example through cookies or server logs).
  • From service providers that help us operate our business, such as payment, email, hosting, and e-commerce platforms, strictly as needed to provide their services.

5. Why we use your information

We use personal information for legitimate business purposes connected to our art education services, including:

  • Responding to enquiries and providing customer support.
  • Processing trial bookings, enrolments, renewals, schedules, and attendance.
  • Administering fees, invoices, credits, and payment confirmations.
  • Operating our online shop and fulfilling product orders.
  • Sending service notices (for example class changes, safety updates, or payment reminders).

6. Legal basis and New Zealand privacy principles

We handle personal information in accordance with the Privacy Act 2020 (New Zealand) and the Information Privacy Principles. We collect information that is relevant to our purposes, take reasonable steps to keep it accurate, and protect it with appropriate safeguards.

Where you are asked for optional marketing consent, you may withdraw that consent without affecting core services already agreed under separate terms.

We do not sell your personal information. We may share information only where necessary:

8. Third-party services

  • Stripe — online payments for course bookings.
  • Shopify — online shop cart and checkout.
  • Google reCAPTCHA — bot and abuse protection on selected forms.
  • Email and communication providers used to send transactional or service messages.
  • Cloud hosting and database providers used to run our website and admin systems.

When you are redirected to a third-party checkout or platform, that provider's privacy policy also applies. We encourage you to review those policies for payment and shop transactions.

11. Student artwork, photos, and public displays

With appropriate consent from a student or parent/guardian, we may photograph classes, record progress, or display student artwork in the studio, on our website, in newsletters, or on social media for teaching and promotional purposes.

You may contact us at any time to update or withdraw media consent where reasonably practicable. Withdrawal will not affect information already published before your request, but we will honour the change for future use where possible.

12. Storage, security, and retention

We store information in secure systems with access limited to authorised staff and contractors. Measures may include access controls, encrypted connections (HTTPS), and provider security standards appropriate to the data we hold.

We retain personal information only for as long as needed for the purposes described in this policy, including teaching records, financial record-keeping, dispute resolution, and legal compliance. When information is no longer required, we take reasonable steps to delete or de-identify it.

13. Overseas storage

Some service providers may store or process information outside New Zealand (for example in the United States, European Union, or other regions where cloud infrastructure is located). Where this occurs, we take reasonable steps to ensure appropriate contractual and security protections are in place.

Under the Privacy Act 2020, you may request access to personal information we hold about you and ask for correction if it is inaccurate, incomplete, or misleading.

We will respond to privacy requests within a reasonable time. In some cases we may need to verify your identity or authority (especially for requests relating to a minor). We may decline access where permitted by law (for example where disclosure would unreasonably affect another person's privacy).

15. Children and parent/guardian information

Many of our students are minors. We collect student information through parents or legal guardians for enrolment, safety, attendance, progress updates, and billing.

We ask that parents/guardians provide accurate emergency contact details and promptly notify us of changes. We do not knowingly collect personal information directly from children online without appropriate guardian involvement for enrolment-related purposes.

16. Links to other websites

Our website may link to external sites (for example social media or payment pages). We are not responsible for the privacy practices of those third-party websites and encourage you to read their policies.

17. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, or legal requirements. The "Last updated" date at the top of this page will change when we publish a revised version. Material changes may also be communicated through our website or by email where appropriate.
